Your information, handled with care
The EBSA & SEN Hub is designed to give parents useful information without asking for more personal detail than a task requires. This notice explains how the site handles information, with particular care for the Expert Letter Review service.
The short version
The free Letter Builder runs in your browser: the details you type into the draft are not automatically sent to the Hub. If you buy an Expert Letter Review, you choose whether to submit a separate case form. We use those details only to check the paid request, prepare and deliver the review, and deal with necessary service follow-up. We do not add Expert Letter Review customers to marketing emails through that form.
Information we collect and why
Free tools and browsing
The free Letter Builder creates a draft on your device. Anonymous usage events may be measured to understand whether a tool is helpful, but the text entered into the letter fields is not sent as part of those events.
Expert Letter Review
After a verified £20 purchase, the case form asks for the minimum information needed to review the requested letter: contact details, a child’s first name and age, the requested letter type, and the relevant situation and outcome. Optional fields are clearly marked.
Service delivery
The submitted case brief is sent to Stephen Mallett by email so that the review can be completed and returned to the email address you provide. The Hub’s database records the paid checkout reference and that a case was submitted; it does not store the narrative case form.
Optional automated drafting assistance
You may separately choose to allow an automated draft to be prepared from the case details for Stephen’s human review. If you do not choose this option, the case is handled without that automated drafting step.
Please minimise what you share
Only include the information needed to prepare the letter. Do not include full dates of birth, passwords, account logins, copies of medical records, tribunal bundles, safeguarding records, or other documents unless Stephen has specifically asked for them through an agreed, secure route.
The Expert Letter Review is a drafting and educational support service. It is not a legal representation service, does not guarantee an outcome, and does not replace advice from a regulated lawyer, clinician, or local SENDIASS service.
Marketing is separate
A paid Expert Letter Review does not itself subscribe you to marketing communications. If you wish to receive new resources or newsletters, you can make that separate choice through a dedicated sign-up form. You can unsubscribe from marketing at any time.
Parent and Carer Panel: recruitment is not open
The Hub is preparing a small Parent and Carer Panel to improve resources and safety controls. It is not collecting Panel applications or Panel participant information yet. Recruitment will not open until the independent safeguarding and participation route, tested safeguarding procedure, secure payment process and final participant materials are in place.
Your choices and contact
You can ask what information we hold in connection with a service request, correct it, or ask for its deletion once the service and any necessary follow-up are complete. To make a request, email stephen@ebsaandsenhub.co.uk with enough information for us to identify the request safely.
